The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics.
  • Financial and Property information
  • AML/KYC data
  • Other information that could identify you which we request or you supply in order to provide our services to you.

We do not share information with anyone else without your prior informed consent.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To enable us to provide you with legal and other services.

We also receive personal information indirectly, from the following sources in the following scenarios:

  • From our joint venture partners Property118, only with your prior approval.
  • From your other professional advisers such as solicitors, accountants and mortgage brokers, again with your prior approval.

We use the information that you have given us in order to provide you with our services.

We may share this information with the above parties, and any regulators or Government agencies (where we have no choice but to comply, and always subject to legal privilege where applicable)

We have reviewed the purposes of our processing activities, and selected the most appropriate lawful basis (or bases) for each activity. We have checked that the processing is necessary for the relevant purpose, and are satisfied that there is no other reasonable and less-intrusive way to achieve that purpose. We have documented our decision on which lawful basis applies to help us demonstrate compliance. We have included information about both the purposes of the processing and the lawful basis for the processing in our privacy notice. Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are

How we store your personal information

Your information is securely stored on an encrypted cloud platform.

We keep all information for six years or as long as is needed to fulfil our legal obligations to you if longer. We will then dispose your information by permanent removal from our facilities.

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
